Primary purpose of the role
The Administration Officer – Shared Services coordinates and delivers a variety of tasks supporting the ALS Shared Services Office, located in Redfern to ensure the smooth running of the office in compliance with WHS requirements and contributes to an environment that supports a positive employee experience.

About the role
The Administration Officer is part of the Shared Services Team.
The Administration Officer will be responsible for the below responsibilities but are not limited to:
- Travel and accommodation booking for employees, executive, and board members.
- Administrative and coordination support for board meetings, committee meetings, AGM, and events.
- General office management - building access, parking, hotdesking, greeting visitors, office supplies.
- Mail and courier management - receiving, dispatching, maintaining records.
- Stationery order processing and inventory management across offices.
- Administrative support - responding to inquiries, collaborating with teams, ad-hoc tasks.
- Restocking and maintaining kitchen pentry
- Proactively monitor the community email inbox and ensure emails are responded to in a timely manner
- Maintain appropriate ALS brochure stock levels in all NSW and ACT offices.
- Be present in the office when required to support with meetings and other administrative work.
About you
We’re looking for someone who brings:
- Knowledge and appreciation of the cultural and social needs of Aboriginal people combined with continuing respect and support for Aboriginal cultural practices in dealing with clients, their families, communities and staff.
- 3+ years’ experience in an administrative role within a professional environment.
- Experience dealing with internal and external clients coupled with excellent customer service skills and a proactive, solutions-focused approach
- Strong verbal and written communication skills, and an excellent phone manner.
- High levels of professionalism in dealing with confidential and sensitive matters.
- Proven capability to provide high quality administration support to a range of stakeholders, whilst managing competing priorities and deadlines.
- Previous experience effectively collaborating with colleagues to coordinate and deliver companywide programs and initiatives.
- Ability to work cooperatively in a team environment to achieve outcomes, and to work independently using sound judgement and initiative.
- Good working knowledge of MS office suite, MS Teams and databases.
- A high attention to detail, organised and methodical.
